How DoorLinq uses your application.
DoorLinq Inc., operating as DoorLinq Property Management, collects the answers in a rental application to consider you for a tenancy. Here is what that means, in plain words, and the full terms beneath.
- What we collect. Your contact details, your ideal move-in date, who would live in the home, a few words about your household, whether you're working, studying or retired, how many parking spots you need, your co-applicants' contact details, and your answers to a few quick questions. On this form we do not ask for your SIN, your date of birth, your family status, where you are from, or your income. If we move forward, SingleKey asks for what its credit and identity check needs, at that step.
- How we use it. To review your application, to reach you about it — by text first, then email — and, if you are not selected for this home, to consider you for comparable DoorLinq rentals. We never sell it and we never use it for anything else.
- Screening. If we move forward, every adult completes a tenant screening through SingleKey, a Canadian platform, at a later step — you are asked for your consent there, and nothing is checked until you give it.
- Who sees it. The DoorLinq team members who handle applications and, for a home we fill on an owner's behalf, the owner who chooses the tenant — no one else. Your answers are held on servers in Canada. If a lease follows, your tenant record is kept in DoorLoop, our property-management system.
- Your consent record. When you submit, we record the date and time, your IP address and your browser, as the record that you agreed to these terms.
- How long we keep it. An application you have not submitted is deleted 30 days after you last saved it. A submitted application is kept with your file at DoorLinq.
- Your choices. You can ask what we hold about you, ask us to correct it, or withdraw your application at any time — email info@doorlinq.ca. If you withdraw your consent to be contacted, we may not be able to continue with your application.

DoorLinq Rental Application Terms and Conditions
By submitting a rental application through DoorLinq Property Management, you acknowledge, understand, and agree to the following terms and conditions.
1. Consent to Communication and Primary Contact Method
You consent to receive communications from DoorLinq Property Management and its authorized representatives by text message and email regarding your rental application, screening, scheduling, and related matters. Text message communication is the primary method of contact. Email may be used as a secondary method when appropriate. Standard message and data rates may apply. You are responsible for ensuring that the contact information you provide is accurate and remains active. Failure to receive or respond to communications due to carrier issues, spam filtering, blocked numbers, or outdated contact information is your responsibility. You may withdraw consent to text communication by notifying DoorLinq in writing, however doing so may affect our ability to process or continue your application.
2. Third Party Platforms
DoorLinq uses third party platforms to manage rental applications, communications, scheduling, and property operations. These platforms include DoorLoop for property management and tenant records, Calendly for booking viewings and appointments, and SingleKey for tenant screening. By submitting an application, you acknowledge that your personal information may be collected, processed, and stored by these providers in accordance with their respective privacy policies and terms of use. DoorLinq does not control these platforms and is not responsible for their independent data practices, system availability, or service interruptions.
3. Tenant Screening Authorization
All adult applicants must complete a tenant screening process through SingleKey. This screening may include credit checks, background checks, income verification, rental history, and identity verification. By applying, you authorize DoorLinq to initiate screening on your behalf and consent to the collection and use of your personal information by SingleKey. Refusal to complete the required screening or identity verification will result in automatic disqualification of the application.
4. Application Screening Fee
The SingleKey screening process carries a non-refundable fee set by SingleKey, currently approximately $44.99 CAD plus tax per applicant. This fee is paid directly to SingleKey at the time of submission and is not collected by DoorLinq.
5. Reimbursement of Screening Fee
If your application is approved and you are selected as the tenant for the unit, DoorLinq will reimburse the SingleKey screening fee by applying a credit toward your first month rent. No reimbursement will be provided if you are not selected, if the application is withdrawn, abandoned, or disqualified, or if you decline an offered tenancy.
6. Accuracy of Information
You confirm that all information provided in your application is true, accurate, and complete. Submission of false, misleading, or incomplete information may result in immediate rejection of the application or termination of tenancy if discovered later.
7. Application Review and No Guarantee
Submission of an application does not guarantee approval or the offer of a lease. DoorLinq reserves the right to evaluate and select applicants based on screening results, suitability, and landlord criteria, in compliance with applicable laws.
8. Application Validity and Non-Response
Timely communication is essential to the application process. If DoorLinq attempts to contact you regarding your application, screening, or a potential offer of tenancy and does not receive a response within forty-eight hours, DoorLinq may treat the application as withdrawn or abandoned and proceed with other applicants without further notice.
9. Reuse of Approved Applications
If your application is approved but the specific unit applied for becomes unavailable or is leased to another applicant, you authorize DoorLinq to retain and reuse your completed application and screening results to assess eligibility for other comparable units managed by DoorLinq. You are under no obligation to accept an alternative unit and no lease will be offered or entered into without your express consent.
10. Applicant Conduct and Misuse of Communication
DoorLinq reserves the right to immediately suspend, close, or reject an application if an applicant engages in abusive, harassing, threatening, or inappropriate behavior, misuses emergency contact channels, repeatedly disrupts normal business operations, or attempts to bypass required screening procedures. Any fees paid will remain non-refundable.
11. No Tenancy Created
Submission of an application, completion of screening, approval of an application, or exchange of communications does not create a landlord-tenant relationship or right to occupy a rental unit. A tenancy is created only after a written lease is fully executed by all parties and all required deposits and payments have been received.
12. Limitation of Liability
DoorLinq is not liable for delays, errors, omissions, or service interruptions caused by third party platforms, screening providers, telecommunications carriers, or internet service providers. Submission of an application is at the applicant's own risk.
13. Non-Discrimination
DoorLinq Property Management complies with all applicable housing and human rights legislation. Applications are assessed using non-discriminatory criteria such as creditworthiness, income verification, rental history, and overall suitability.
